THE TABS IN THE BACK END
This video gives you a quick tour of the tabs in the 'back end' of your site
SETTING-UP NEW USERS (to edit your site)
This video shows you how to set up users and their access to edit the site, and how to control their editing levels.
ADDING TEXT (CONTENT) TO YOUR SITE
This video shows you how to add content and text to the site, as details below
- You'll notice that the site responds in much the same way as it would when you use a Word document.
- You can make text bold just as you would in a Word Documents
- You can make text in italics just as you would in a Word Documents
- You can make a list using bullet points or numbers
We use Chrome as our default browser, and we use 'Grammarly for Chrome' to help with spelling, punctuation, and grammar. You can download Grammarly (for Chrome) via this link.
If I type something incorrectly it helps me understand my errors.
Horizontal lines (above) are handy for separating text on a page.
Blockquote - what's a blockquote?
If you cannot attend your appointment, it's vital that you let us know.
Headers - can't I just make text bold or bigger?
No - you may not.
You want your site to be accessible to screen readers for visually impaired and blind people, and a screen reader might have been told to jump from section to section. A header helps define a section. If you've made text big/bold, then a screen reader won't "see" that and the person using it might miss out on something important.
Something less important now...
To add a header, click on the drop-down box "Normal" and choose Header 2, Header 3 (if your points become less critical), or if the points you're making all carry equal weight in the text, then choose Header 2 for each new section.
ADDING STAFF (to the "Our Staff" page, so that clients can see who works at the practice)
This video shows you how to add new staff, a new category (e.g. Healthcare Assistants), rearrange the order of the tabs.
Click on the PROFILES tab, and you see two smaller tabs 'categories' and 'profiles':
Categories: Add, delete, and amend the name of the categories, and change the order in which they show on the site.
Profiles: Add, amend, or delete the member of staff.
We suggest that for the most professional appearance, the images of the staff are the same width/height.
Slightly blurred backgrounds ensure that there's less possibility of the photo becoming dated, or revealing any data (eg on a clipboard or on a monitor) and it literally keeps the focus on you.
Candid shots work well for nervous staff who don't like posing for a photo. Ask if they want to be caught while answering the phone, typing, writing, chatting to a customer (you can crop out most of the customer if you take the photo from slightly behind). Examples:

IMAGES
This video shows you all about images - where are they kept, and where do you find them (Royalty-free).
This video shows you how to add an image - what happens if it's too large to upload, what size should they be, align left or right, alternative text (alt text), and amending images that are already on the site.
The resize tool that I use is available through this link: resize tool
Note: Banner images (such as the wide image that spans your home page across the top) should be at least 2000 pixels wide so that they remain sharp resolution even on a widescreen.
Bullet points do not sit well with images so it's best to use them above/below an image.
CONTENT TAB
This video talks you through the buttons in the content tab, and what they do, and includes (but is not limited to) the following:
Blue = Top-level items, that are the top of the menu on the home page, such as ABOUT US
Grey = 2nd level items. These are seen when you've clicked/hovered over the main menu, such OUR POLICIES
Green - 3rd level items. These are items within a 2nd level item, such as PRIVACY NOTICE
If you toggle a blue or grey item to OFF, then that page AND THE SUBPAGES won't be visible on the site. However, if someone already knows the URL to the page then they can still get to it.
LINKS
This video shows you how to add:
Hyperlink to a page on your site (e.g.) Home page
Hyperlink to an external page (e.g.) NHS which should always open in a new window
Link to a document or PDF (e.g.) Complaints, Concerns, Compliments which should always open in a new window
A link (which could be to an external site, a page within your site, YouTube, etc) inside a BUTTON
A link to email us about a complaint
HOME PAGE: the red emergency banner, the 6 circular button links, and the banner image(s)
This video shows you how to add, amend, and delete the red emergency banner at the top of the home page, the large banner images below that with the image of your practice, and the 6 circular buttons that take patients to (e.g.) Book appointments, Order Prescriptions, etc.
In the back end of your site, this is via the PROMOS tab.
NOTICEBOARD ('news' tab in the back end)
This video helps you when adding, editing, deleting, and archiving information in your noticeboard.
ACCORDIONS
This video shows you how an accordion menu is a useful way of showing and hiding a large number of list items that might otherwise get in the way of the main content of a page. They're ideal for FAQs and Q&As, or if you're grouping staff into teams on a page. A fab example of this is on Sheffield Medical Centre's page.
Steps 1, 2, and 3 affect the text that you wish to hide. Steps 4 and 5 affect the text that remains visible at all times.
- Highlight the text that you wish to hide.
- Click DIV button
- Click 'Style' and choose expandable, and click 'ok'
- Highlight the text that you wish to be viewable at all times
- Click the dropdown box 'Normal' or 'Format', and choose 'Head 4 (more)'
EMBED A VIDEO
This video explains how to embed a video on your site (rather than having a link to it). You might use it for an NHS video, for instance.
So that you can find the text where you will later embed the video, write something memorable… I'm going to write....
Now, go to (e.g.) YouTube and find your video.
Click on the SHARE button (often with a dynamic arrow).
Click on the button that says 'Embed'.
Click on the part that says 'COPY'.
In your site's back end, click "source" on the Item Content Bar.
Scroll down until you can see your memorable text (mine was EMBED VIDEO HERE).
Highlight your memorable text and paste in the link you copied from YouTube (thus deleting your memorable text).
Press "Source" again on the Item Content Bar.
You'll now see a grey lined box with the word "IFRAME" in it, in red.
Click on the grey box, and then click on 'Normal' in the Item Content Bar and when it drops down choose EXT. 16:9
EMBED A MAP
This video shows you how to embed a map, and ensure that it resizes for use on a mobile, iPad, laptop etc.
The map will resize for mobile / laptop / iPad etc, and zoom in/out as normal
CREATING A PAGE FROM SCRATCH
This video shows you how to create a whole page from scratch (main level, 2nd level, or third level item), and uses elements from the above tutorials, such as headers, content, images, links (internal and external), embeds, buttons, etc.
